Privacy Policy

1. Who is responsible

Fetch Files LLC, 2491 Sycamore Rd NW, Atlanta, GA 30318-3929, United States, operates FetchFiles. The Service is offered to users in the United States.

Fetch Files LLC decides how personal information is used for the Service. Hosting and database providers listed below process information on Fetch Files LLC’s behalf.

2. Personal information we collect

We collect the following. We do not currently use third-party analytics, advertising, or crash-reporting SDKs.

A. Website waitlist

When you join the waitlist, we collect your name and email address. Phone number is optional. Our servers also receive your IP address so we can limit abuse (for example, too many submissions from the same network).

B. You provide in the app

Phone number is collected on the waitlist if you choose to provide it. The mobile app schema can store a phone number, but the current app does not ask for one.

C. From Apple (if you use Sign in with Apple)

Apple user identifier, email (or Apple private relay email), and name if you choose to share it.

D. Automatically

We do not collect precise location, contacts, advertising IDs, or microphone audio. Camera and photo-library access stay on device except for the images you choose to upload.

E. We do not currently collect

Analytics event histories, advertising profiles, payment card data, government IDs, or human health-app data (HealthKit / Health Connect).

3. How we use information

We use information to:

• confirm waitlist sign-ups and email you when FetchFiles is available to download;
• record that you are 18 or older and agreed to the Terms and Privacy Policy;
• create and authenticate accounts, and keep you signed in;
• provide pet profiles, records, file storage, caregiver access, and share pages;
• match a caregiver invite to an account when someone signs up with the invited email;
• show owners limited share-link activity (opened / last accessed);
• operate, secure, debug, and prevent abuse of the Service;
• respond to support requests;
• comply with law and enforce our Terms.

If you give us a waitlist phone number, we may use it only as another way to reach you about availability. We do not send marketing text messages.

We do not sell personal information. We do not use personal information for cross-app advertising or “sharing” as defined by the California CPRA (we do not run advertising SDKs).

4. How sharing works

Private by default. Pet photos and record files are stored in private storage and are shown to you and to caregivers you authorize, via authenticated access or short-lived signed URLs.

Caregivers. People you invite can see the pet and records allowed by their access level (view, add, or edit). We store their name and email even before they have an account. We currently do not send them an email from FetchFiles; you are responsible for telling them they were invited.

Share links. If you create a share package, anyone with the URL can view pet name, your display name, record details (including notes), and download files until the link expires or you revoke it. Treat the URL like a password. Recipients are independent of FetchFiles; their devices and inboxes are outside our control.

Profile photos. User avatars are stored in a public storage bucket so the app can load them. Do not upload an image you are not comfortable making technically accessible via URL.

5. Who we share information with

We do not share data with advertisers.

6. Retention

We keep waitlist information until you ask us to delete it or we close the waitlist. We keep account, pet, record, and file data until you delete that item or your account, or until we delete it when closing the Service.

• Deleted pets, records, and files are removed from active systems; backups may lag.
• Revoked caregiver rows and share links may remain as records of what was granted (with access turned off) rather than being immediately erased.
• Share-link tokens become unusable after expiry or revoke.
• Server logs and waitlist rate-limit IP addresses are kept for a limited operational period by our hosts.
• If you request account or waitlist deletion, we will delete or de-identify personal data we control, except where we must retain it (legal claims, security, or tax).

You can delete your account from Account in the app. That removes your profile, pets, records, and files from active systems. You can also email connect@fetch-files.com to delete a waitlist entry or request deletion of other data we hold.

7. Security

We use HTTPS, authenticated APIs, access rules in the database, and private storage for pet photos and record files. Passwords are handled by our authentication provider (hashed), not stored in plaintext by the app.

We do not currently offer end-to-end encryption. Fetch Files LLC personnel and infrastructure providers with administrative access to production systems could technically access stored content. Profile avatars use a public bucket.

No method of transmission or storage is 100% secure. If you believe your account is compromised, contact us and change your password.

8. Your choices and rights

In the app you can:

• edit your profile and pet information;
• delete pets, records, files, and your avatar;
• revoke caregiver access and share links;
• sign out;
• delete your account from Account.

You may also email connect@fetch-files.com to request access, correction, deletion, or a copy of personal information we hold, including waitlist information. We will need to verify the request (typically via the email on the account or waitlist). Launch emails will include a way to unsubscribe.

California (CCPA/CPRA): You have the right to know, delete, and correct personal information, and to opt out of sale/sharing (we do not sell or share for advertising). We will not discriminate for exercising these rights. Categories of information we collect are listed in Section 2. We collect them for the business purposes in Section 3. We have not sold personal information in the last 12 months.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. You must be 18 years old or older to use FetchFiles, including the waitlist. If we learn we have collected information from a child under 13, we will delete it. Contact connect@fetch-files.com.

10. International transfers

We are based in Georgia in the United States. Providers may process data in the United States and other countries. The Service is offered for use in the United States. If someone opens a share link from outside the United States, that information may still be processed in the U.S.

11. Do Not Track / cookies

The mobile app does not use advertising cookies. This website and public share pages are hosted by Vercel; they do not currently include advertising or analytics scripts. Our hosts may set strictly necessary cookies or logs for security and operations.

12. Changes

We will post updates to this Policy and change the effective date. Material changes will be noticed in-app or by email where reasonably possible.
